Payroll Manager

HOW YOU WILL CONTRIBUTE:

As the Payroll Manager you are responsible for the accurate preparation, documentation, distribution, and reconciliation of Dejana payroll and the administration of the payroll system. You will serve as a point of contact for external payroll providers (currently Paylocity) and will be responsible for establishing, maintaining, and upholding trust and confidentiality internally. You will also work closely with multiple Dejana teams, such as the HR Department and Internal Auditing, to ensure payroll issues are escalated and resolved promptly. As such you will be:

  • Responsible for preparing, reviewing and processing weekly payroll for Dejana to include but not limited to approval of hourly timecards, create data for salary positions, calculating weekly sales commissions, entering payroll changes, employee expense reimbursements, employee deductions and garnishments into Paylocity.
  • Maintaining up-to-date knowledge of city, state, and federal legislation affecting payroll.
  • Maintaining earning/deduction/tax codes in Paylocity.
  • Responsible for system setup, department changes, GL mapping, and tax set up in Paylocity.
  • Responsible for 401k reconciliation and submission after each payroll has been processed.
  • Responsible for processing special payrolls as needed, sending out for review, and submitting. (AIP, Profit Share, Sales Bonuses, other Bonuses). Responsible for submitting manual HSA funding.
  • Responsible for report writing and regulatory reporting for items to include, but not limited, to census reporting, 401k compliance, workers compensation data, SOX compliance and annual W-2 process.
  • Providing support and continuous improvement in training employees on Paylocity and Kronos and work closely with Branch Managers on time approval and problem resolution for payroll processing errors. Train/assist employees with all payroll processes and share best practices.
  • Assisting, as required, during month-end close including accurately preparing and entering journal entries and account reconciliations to include but not limited to Dejana payroll entry, hourly and salary wage accrual, paid time off, TFR and holiday accruals, 401k and sales commissions.
  • Assisting employees with 401k questions, including loans, check balances, etc.
  • Maintaining customer maintenance records.
  • Participating when feasible with cross functional teams formed to create continuous improvement efforts in systems and procedures.
  • Cross-training to support Accounts Payable.
    • Preparing ad hoc payroll data collection requests from Management/HR.
    • Administrating WEX and P card accounts.
  • Additional duties include month-end Payroll entries, certain General Ledgers, and Accounts Payable activities.

WHAT THIS ROLE NEEDS:

  • Ability to communicate effectively and promptly at all levels of the organization, providing consultation and supporting department objectives and management decisions.
  • Good analytical skills with the ability to work with intangible concepts.
  • Ability to apply good judgment and complete responsibilities timely and accurately.
  • Ability to follow Company policies and procedures regarding work and conduct.

EDUCATION:

  • Bachelor’s degree in business administration, Accounting or Finance; Five to seven years related experience and/or training.

SKILLS:

  • Experience with Payroll, Accounts Payable and General Ledger accounting transactions required.
  • Experience with Lean Accounting concepts, Paylocity, Kronos and Basware a plus.
  • Familiarity with one or more accounting software systems and Paylocity a plus.
  • Experience with Windows, Microsoft Excel, and Word.

PHYSICAL & MENTAL ENVIRONMENT:

  • This job is predominantly indoors in an office setting.
  • This is an on-site position.
  • Remote or hybrid arrangements may be considered for qualified candidates
